Does my nonprofit need an in house accountant?

It most cases, no! We can help you transition from having an in person accountant to having a remote accountant. We use cloud based accounting technology to help your accounting be done remotely. Our current clients only have a few in person tasks: depositing checks/cash that are mailed in (we will handle the accounting for it) and snapping a picture of bills that come in the mail for us to pay online. 

What accounting technology do you recommend?

We currently use Quickbooks Online for accounting software & payroll, Routable for accounts payable processing, Uncat for communicating with clients about uncategorized expenses, Google Drive to share documents, and PCO Giving for online donation management. We’ve found these to be great solutions and are constantly looking out for technology to make the accounting process smoother and more efficient!

How do I communicate with an accountant who works remotely?

Marc or Kate will be your primary point of contact for all things regarding your accounting needs. We communicate via text, phone call, email, and video call. If something is urgent, feel free to text/call. If it’s a non urgent task, shoot us an email with what’s on your mind. We communicate a lot through email about different transactions or accounting needs. And we will set up video call with you as needed to talk through any accounting needs. 

How much does this accounting service cost?

Every nonprofit is unique in its size, scope, and accounting needs. In our first few conversations, we will ask you some questions to get a better understanding of your organization and your accounting needs. We will then present you with a monthly quote for our accounting services. If you are starting a new non profit, there are other up front tasks that are separate from our normal monthly duties. We will charge separate fees for those tasks. Just talk with Marc and Kate and we’ll get it all sorted!

Since you're a remote accounting service, how quick are you at responding to communication?

It is our goal to reply to emails within 24 business hours. When clients have an urgent need arise, they will quickly call or text us to get their problem sorted. We’re available to help. 

What type of nonprofits do you service?

We are excited to help all nonprofits that are doing good for their communities. We currently have churches and ministries as clients, but are open to all. Please reach out and we’d love to hear about your mission, goals, and accounting needs!

Can you process payroll?

Yes, we can process payroll for employees and contractors. We currently recommend Quickbooks Online for payroll processing. We can help you get your employees to fill out the proper forms and get your nonprofit set up for payroll. 

Will you keep an electronic folder of all of our receipts? Or do we need to do that?

That is really up to you and your preferred organization style. We have clients who handle their own receipt management and we also have clients that want us to handle that. If you have an on site admin who can organize your receipts, that’s great. But if you want us to manage them, we can include that in our monthly tasks. But please know that it’s still the client’s responsibility to get receipts and send them to the accountant. 

Do you guys just send financial reports or can you help me in actually making sense of them?

Absolutely! It’s is our joy to be the experts in accounting so that you don’t have to be. We want to free you up to do what you do best: help others. We will work to explain things in simple terms. We communicate with non-accountants often (most of the time)!

Can you help our nonprofit create a budget and track spending?

Yes, absolutely! We will help you figure out your current spending patterns and project a budget. We can help you analyze your budget and then track spending in categories each month to see if your nonprofit is staying on track. We will guide you as desired and as needed. 

Do you send out year-end donor statements?

All donations should be tracked in a donor management system. We will ask you to write the message for the statements and we will make sure any necessary wording is in there. Then we will generate the statements within the software. Most donation softwares can send out statements to donors’ emails. And then we can send you a PDF of any statements that need to be physically mailed out.  

Can you help us calculate Ministers Housing Allowance?

Yes, we can work with your board of directors and finance committee to help you calculate Minister’s Housing Allowance and handle everything on the accounting side of things.
